About the Role
We are seeking a detail-oriented and proactive Admin Executive (Purchasing & Logistics Operations) to support our procurement, logistics, and supply chain functions. This role is ideal for someone with hands-on experience in purchasing and import/export coordination, who thrives in a fast-paced operational environment and enjoys working with both internal teams and international partners.
Job Responsibilities
🚛 Purchasing & Procurement
Raise and manage purchase orders to ensure timely delivery
Maintain accurate supplier and pricing records in ERP systems
Source and evaluate alternative suppliers to improve cost efficiency and supply reliability
Ensure all purchased goods meet quality and specification standards
🌍 Logistics & International Coordination
Coordinate inbound and outbound shipments, including import/export documentation
Work closely with freight forwarders, shipping agents, and customs brokers
Track shipments proactively and resolve delays or discrepancies
Ensure compliance with international trade regulations, including Incoterms and customs requirements
Support inventory planning and stock replenishment activities
💼 Sales Fulfilment & ERP Operations
Process sales orders accurately in the ERP system
Coordinate across sales, warehouse, and finance teams to ensure smooth order fulfilment
Maintain accurate data for inventory, orders, and shipments
Generate operational reports to support business decision-making
📄 Documentation & Compliance
Prepare and verify shipping and trade documents (invoices, packing lists, bills of lading, permits, etc.)
Maintain proper records for audit, compliance, and traceability purposes
Ensure adherence to company policies and regulatory requirements
Requirements
Diploma or Professional Certificate in Business Administration, Logistics, Supply Chain, or related field
1–3 years of experience in purchasing, logistics, or supply chain operations
Hands-on experience with import/export documentation and procedures
Familiarity with freight forwarding, customs processes, and international suppliers
Strong understanding of Incoterms and supply chain basics
Proficient in Microsoft Office (especially Excel and Word)
Strong coordination, problem-solving, and multitasking abilities
High attention to detail and ability to work in a fast-paced environment
