Job Description

Job Summary

You will manage procurement and administrative tasks for an M&E firm, including sourcing materials, negotiating prices, preparing quotations and purchase orders, tracking stock and project resources, and supporting HR and accounts functions.

Responsibilities

  • Manage procurement processes by sourcing materials, negotiating prices, and fulfilling orders to meet project needs
  • Prepare accurate quotations, purchase orders, and perform system data entry to support purchasing activities
  • Perform administrative duties such as filing and recording sales and purchase transactions to maintain organized records
  • Collaborate with suppliers to obtain cost information and follow up on delivery status to ensure timely receipt of materials
  • Monitor and track consumables, stock, tools, and equipment regularly to maintain adequate inventory levels
  • Record materials and manpower usage for various projects to support project tracking and cost control
  • Respond promptly to telephone calls, emails, and inquiries to maintain effective communication
  • Assist with HR and accounts duties, including familiarity with MOM regulations and Work Pass matters to support compliance
  • Perform other ad-hoc duties as assigned by the Manager to support operational needs

Required competencies and certifications

  • Proficiency in MS Office, especially Microsoft Excel and Word, to efficiently manage data and documentation
  • Minimum 2 years of relevant work experience in administrative and purchasing roles within a related field to perform core duties effectively
  • Educational qualification of at least "O" Level, ITE, or equivalent to meet job entry requirements

Preferred competencies and qualifications

  • Ability to work independently with minimal supervision, demonstrating self-drive and proactivity to achieve tasks efficiently
  • Good interpersonal skills to collaborate effectively with suppliers, colleagues, and stakeholders
  • Availability to start work immediately or on short notice is an advantage for smooth onboarding
