Job Description

Key Responsibilities

• Provide administrative support to shipyard and general service operations, project, and management teams

• Prepare, organize, and maintain documentation such as purchase orders, delivery orders, invoices, and job files

• Coordinate with internal departments (operations, procurement, accounts, warehouse) on administrative matters

• Manage filing systems (physical and digital) to ensure accurate record-keeping

• Handle incoming calls, emails, and general correspondence

• Assist in scheduling meetings and site visits

• Monitor office supplies and coordinate with vendors for replenishment

• Support compliance with safety, audit, and regulatory documentation requirements

• Perform data entry and update records in company systems

• Carry out ad-hoc administrative duties as assigned

Requirements

• Diploma or equivalent qualification

• Minimum 2 years of administrative experience

• Proficient in Microsoft Office applications (Word, Excel, Outlook)

• Good organizational and time-management skills

• Ability to work independently with a high level of accuracy and efficiency

• Detail-oriented, responsible, and able to multitask

• Able to work in a fast-paced and operational environment

• Good communication and coordination skills
