Job Description
Job Title: Admin Executive (Commercial Kitchen Equipment / B2B)
Job Summary
We are looking for a reliable and detail-oriented Admin Executive to support our daily operations in the commercial kitchen equipment industry.
You will handle administrative coordination, quotations support, supplier follow-ups, documentation, and basic customer service, ensuring everything runs smoothly from sales to delivery.
This role is best for someone who is organized, responsible, and fast in execution.
Key Responsibilities (Job Scope)
Administration & Coordination
Assist in preparing quotations, invoices, delivery orders, and purchase orders
Coordinate with suppliers / factory / logistics for delivery schedules and stock updates
Manage daily admin tasks, filing, documentation, and internal tracking
Support sales team with pricing requests, product details, and follow-ups
Customer Support
Handle incoming enquiries via WhatsApp / email / calls
Follow up with clients on order status, delivery timing, and basic questions
Maintain good communication with customers and ensure a smooth experience
Operations Support
Track delivery and installation arrangements
Assist in ensuring orders are accurate and complete before dispatch
Update records on confirmed orders, payments, and supplier status
General Office Support
Maintain organized records and digital folders
Ensure documents and data are updated properly
Assist management with admin tasks when needed
Requirements
Minimum O-Level / Diploma (experience preferred over paper qualifications)
1–3 years admin experience preferred (F&B / logistics / trading background is a plus)
Comfortable using WhatsApp, Email, Excel / Google Sheets
Strong attention to detail and ability to multitask
Responsible, independent, and able to follow up tasks properly
Good communication skills (English required, Chinese is a bonus)
